1. Who we are

kiteHouse Tutoring ("kiteHouse", "we") is the data controller for personal data processed through this portal.

2. Data we collect

  • Account data: name, email address, phone number, password (hashed), role (parent, tutor, student).
  • Student profiles: child's first name, grade level, subjects, notes added by parents or tutors.
  • Scheduling data: bookings, availability, attendance, session reports and messages.
  • Billing data: order history and subscription status. Card details are collected and stored by Stripe, not by us.
  • Technical data: IP address, device and browser information, log and usage data.

3. How we use it

  • To create and operate your account and provide the Service (legal basis: performance of a contract).
  • To process bookings, payments, and communications between parents and tutors (contract).
  • To prevent fraud, abuse, and to keep the Service secure (legitimate interests).
  • To meet legal, tax, and accounting obligations (legal obligation).
  • To improve the Service and respond to support requests (legitimate interests).

4. Sharing

We share data only with:

  • Service providers / subprocessors that host the platform, send transactional messages, and provide error monitoring.
  • Stripe, our payment processor, for processing payments, managing subscriptions, and issuing receipts.
  • Your tutor or your child's parent, as needed to deliver and report on sessions.
  • Professional advisers and authorities where required by law.

5. Retention

We keep account and session data for as long as your account is active and for a reasonable period afterwards to meet legal, tax, and accounting requirements. Data is deleted or anonymised when no longer needed.

6. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or port your personal data, and to object to certain processing. Contact us through the portal to exercise these rights. If you are in the UK or EEA, you also have the right to lodge a complaint with your local data protection authority.

7. Security

We use appropriate technical and organisational measures, including encryption in transit, access controls, and audit logging, to protect personal data.

8. Cookies

We use a small number of essential cookies and similar technologies required to keep you signed in and to keep the Service secure. We do not use advertising cookies.

9. Children

Student accounts are created and managed by a parent or legal guardian. We do not knowingly collect personal data directly from children without parental involvement.
